Ivalua pricing: how much does the licence cost?

The short answer

Ivalua gives buyers no public price list. Its licence is a yearly subscription priced by modules and types of users. Published figures start at about $150,000 a year; a Forrester model paid for by Ivalua uses $500,000 a year.

How much does Ivalua cost?

Ivalua has no public price for buyers. Each licence is quoted on the modules, the types of users and other criteria written in the order. Public figures for the yearly licence run from about $150,000, an unsourced aggregator estimate, to $500,000 for 300 users and the full platform in a study paid for by Ivalua.

The table brings together every public figure I found on the licence itself. They do not measure the same thing: some are yearly prices, some are ceilings over several years, one is a full contract. The last column says how far each one can be trusted.

A yearly Ivalua licence sits in the hundreds of thousands of dollars or euros in every source; only the public contracts are first-hand, and they give ceilings or totals.

This page uses public sources only. It gives no figure from client projects.

How does Ivalua price its licence?

Ivalua prices its licence on what its contract calls “Metrics”. In Ivalua’s 2023 standard terms, published with a US public contract, Metrics include “the number and description of modules, types of Authorized Users or other mutually agreed criteria as specified in an Order”. The order is the quote you sign. It lists the services, the fees, the subscription term and the Metrics.

Two other sources describe the same levers. In Forrester’s study, the customers interviewed “reported paying annual license fees based on modules and user counts”. VendorBenchmark, an aggregator, names four: the modules bought, the number of users by role, the number of active suppliers, and add-ons such as analytics or AI. The supplier count is that aggregator’s claim; the 2023 terms do not name it, but they leave room for “other mutually agreed criteria”.

  • Billing. Under the 2023 terms, subscription fees are billed once a year, in advance, unless the order says otherwise.
  • No refund. Subscription fees are “non-cancellable, non-refundable and non-recoupable”.
  • Changing modules. The same contract says that a change to the packages, modules or options you selected “may result in changes to price”.
  • Suppliers. Suppliers may use only the supplier portal. Who gets access, and keeping it in line with the Metrics, is the customer’s job.

Which modules exist and how they fit together is explained in Ivalua modules.

What happens if you use more than your Ivalua licence covers?

You pay for the extra use. Ivalua’s 2023 terms say that Ivalua may monitor the customer’s use of the platform. If actual use exceeds the Metrics in the order, Ivalua invoices the difference, at the fees set in the order or, if the order sets none, “at Ivalua’s then current standard rates”.

A typical case: the licence was sized for the first entity. A year later two more countries go live, and several hundred new requesters get an account. Nobody compares the new user count with the order. The overage then shows up on an invoice, at a rate nobody negotiated.

Two checks avoid this. Before each rollout, count the users and volumes it adds and compare them with the Metrics. When you sign, write the price of extra users and extra modules into the order, so that the “standard rates” never apply. Comparing real use with the Metrics is one of the checks in my Ivalua health check, a fixed-price review from €12,500 over three weeks.

How much does the Ivalua licence go up at renewal?

At least 5% a year, under Ivalua’s 2023 standard terms, unless your order says otherwise. After the first term, the subscription renews for one year at a time, unless either side gives notice at least 60 days before the end. At each renewal the yearly fee rises by the higher of 5% or the rise in an inflation index over the past twelve months.

Ivalua entity you contract withIndex named in the 2023 termsMinimum yearly rise
Ivalua SASHarmonised Index of Consumer Prices (HICP), published by the European Central Bank5%, or the index if higher
Ivalua, Inc. or Ivalua Canada Inc.US Consumer Price Index (CPI), published by the Bureau of Labor Statistics5%, or the index if higher
Renewal increase in Ivalua’s 2023 standard terms (NASPO ValuePoint / State of Maine contract, §6.2)

Without a different clause in the order, the yearly licence rises by 5% or more at every renewal.

A worked example, not a forecast: a yearly licence of €400,000 renewed three times at the 5% floor becomes €463,050 (400,000 × 1.05 × 1.05 × 1.05). The fourth year then costs €63,050 more than the first.

VendorBenchmark adds that, by default, renewals go back to the current list price and the discount of the first term is lost unless the agreement keeps it. That is the aggregator’s claim, with no method published. It is still a clause worth reading in your own order.

How big are the discounts on Ivalua list prices?

Ivalua has list prices, and public buyers have paid well below them. The State of Maryland’s 2025 decision records “a discount of 59.6% off of Ivalua’s published list pricing for software licensing and maintenance”, obtained through the NASPO ValuePoint cooperative contract. That contract itself says its prices are a maximum and do not stop a buyer from negotiating lower.

VendorBenchmark gives smaller ranges for private buyers: 8% to 15% on a single module over three years, up to 30% to 38% on a full suite over five years. These figures and Maryland’s do not start from the same base, and the aggregator does not say how it measured them. Read them as a sign that the length of the term and the number of modules move the price, not as targets.

Who sells the licence also varies. In France, OPCO Atlas bought the renewal of its Ivalua licences in 2026 through a public tender. An integrator, CKS Consulting, won it. It was the only bidder on that lot.

What does Ivalua cost in total, beyond the licence?

Much more than the licence. In Forrester’s model, commissioned by Ivalua, licence fees were about a quarter of the three-year cost. Implementation, maintenance and support, and training made up the rest. Your own team comes on top: the model counts 8 internal full-time staff during implementation.

The licence also grows after go-live. Forrester’s model adds $50,000 in year three for upgrades or new modules. Under Ivalua’s 2023 terms, custom work and complex configuration or integrations added after go-live are charged as extra work at each upgrade, and an upgrade is required at least every two years.

What public buyers paid for whole projects, how long go-lives took and each cost item outside the licence are set out in Ivalua implementation cost and timeline.

How does Ivalua pricing compare with Coupa?

No public source lets you compare the two on the same scope. Coupa does not publish list prices either. The software buying platform Vendr reports a median of $95,000 a year for Coupa, from about $21,000 to $331,000, based on 127 purchases logged by its users (February 2026). Those purchases mix single modules and full suites. The other differences, from upgrades to ownership, are in Ivalua vs Coupa.

What should you check in an Ivalua quote?

Most of the cost surprises in the sources above come from what the order leaves out. Before you sign, check that the order states each of these points:

  1. List the Metrics in full: the modules, each type of user and the number of each, and any other criterion such as suppliers or volumes.
  2. Set the price of extra users, extra modules and extra volume in the order, so that Ivalua’s current standard rates never apply.
  3. Write the renewal rise you agreed, or a cap, in the order; otherwise the 2023 terms apply the higher of 5% or the index.
  4. Ask whether the discount of the first term carries over to the renewals.
  5. If the rollout runs in phases, ask when each part of the subscription starts to be billed.
  6. Ask how custom configuration is charged at each upgrade, and add that cost to the run budget.

At the end you have a quote you can compare year by year, with the extra costs priced in advance. Frequently asked questions

Short answers to the questions people ask, each one sourced above.

How much does Ivalua cost per user?

Ivalua publishes no per-user rate, and ERP Research also found none. In Forrester’s model commissioned by Ivalua, $500,000 a year covered 300 users and the full platform, which works out at about $1,670 per user per year. That is one modelled company, not a price list.

What is the lowest Ivalua licence cost on record?

The lowest figure is about $150,000 a year, from ERP Research, which publishes no method. The lowest first-hand figure is a ceiling: OPCO Atlas capped its Ivalua licence lot at €380,000 over 36 months in 2026, so at most about €127,000 a year.

Does Ivalua charge for suppliers?

Suppliers may use only the supplier portal, and Ivalua’s 2023 terms do not name suppliers among the Metrics. The terms do allow “other mutually agreed criteria” in the order. Forrester’s summary says the licence scales with use and supplier volume, and VendorBenchmark lists the active supplier count as a pricing lever.

Can you cancel an Ivalua subscription early?

Not under Ivalua’s 2023 standard terms: subscription fees are non-cancellable and non-refundable. After the first term, the subscription renews for one year at a time unless either side gives notice at least 60 days before the end of the term. Your own order may set other terms.

Is Ivalua cheaper than Coupa?

No public data answers that on the same scope. Vendr reports a Coupa median of $95,000 a year across purchases that mix single modules and full suites. Ivalua figures come from different sources: aggregator ranges, a Forrester model commissioned by Ivalua, and public contract ceilings.
